Data Flow

Beamy ensures seamless coordination between front-of-house, kitchen, and management by enabling smooth data flow across all systems. This section outlines how information travels through the Beamy ecosystem, from order creation to reporting.

Overview

Beamy’s architecture supports real-time, bi-directional data flow between:

  • POS (Point of Sale)
  • KDS (Kitchen Display System)
  • Bridge (Admin Dashboard)
  • Printers (Brother label printers)
  • Payment Gateways (EFTPOS, Stripe, Centrapay)

All components are synced via cloud APIs and/or local networks to keep information consistent and up to date.

Order Lifecycle Flow

1. Customer Places Order

  • Staff inputs order into the POS
  • Customisations, item quantities, and any extra information is included

2. Payment Processed

  • POS triggers payment request to:
    • EFTPOS terminal (via IP/port)
    • Or online payment services like Stripe or Centrapay
  • Payment status is returned to POS and recorded in Bridge

3. POS Sends Data

  • Order is immediately sent to:
    • The relevant KDS station for preparation
    • The Bridge dashboard for tracking and analytics

4. KDS Displays Order

  • Order is sent to Printers (if required) to print order labels either automatically if chosen or as needed
  • Kitchen staff views and manages items on a digital screen
  • Staff tap off items as they are prepared
  • Updates are synced back to the POS and Bridge

5. Order Completed

  • Once all items are ticked off in KDS, the order is marked complete
  • Sales, product data, and timing metrics are updated in Bridge

Reporting & Analytics Flow

  • Data from all transactions is automatically pushed to Bridge
  • Bridge aggregates:
    • Sales totals
    • Item-level metrics
    • Real-time and historical reports
  • Graphs and downloadable reports available per site or company-wide

Printing Flow

  • Brother printer receives label or receipt data from:
    • POS (future order such as catering)
    • KDS (kitchen prep or delivery labels)
  • Printer must be on same local Wi-Fi network as tablet for connection

Permissions & Syncing

  • User roles (e.g., manager, cashier, kitchen staff) determine data visibility
  • Offline mode allows orders to be taken even if internet is down
    • Data syncs to Bridge once reconnected

Inventory & Product Updates

  • Changes to menu, pricing, or product availability are made in Bridge
  • These updates automatically sync to:
    • All connected POS devices
    • All KDS stations
    • Ensures consistency across sites
